Questions to Ask China Suppliers During Factory Visits and Trade Fairs

Good supplier questions are specific. They help you compare suppliers, clarify commercial terms, and decide what needs follow-up after the meeting.

At a factory visit or trade fair, it is easy to focus on product samples and general conversation. That is useful, but it is not enough. The buyer needs answers that can be compared later: MOQ, quote basis, lead time, customization, sample timing, packaging, payment terms, and next steps.

Use the questions below as a practical meeting structure. Adapt them to your product category and confirm important details in writing before making supplier decisions.

Start with product fit

First confirm whether the supplier regularly makes the exact category you need. A supplier may show similar products but lack experience with your material, certification requirement, customization level, packaging, or target market.

  • Do you currently produce this exact product category?
  • Which materials, sizes, or specifications are standard for you?
  • What customization is realistic at my order quantity?
  • Can you show recent production examples for this category?

Clarify MOQ and price basis

MOQ and price are only useful if the quote basis is clear. Ask whether the price is based on a specific material, packaging, quantity, incoterm, customization level, and sample approval process.

  • What is the MOQ for standard product and customized product?
  • What quantity is this price based on?
  • Is packaging included in the quote?
  • Which incoterm is being quoted?
  • What changes would increase or reduce the unit price?

Ask about samples early

Samples are often where supplier promises become more specific. Confirm sample cost, timing, available versions, customization limits, and whether photos can be sent before dispatch.

  • Do you have stock samples available?
  • How long does a customized sample take?
  • What is the sample cost and shipping method?
  • Can you provide photos before dispatch?
  • Will the sample cost be refunded or credited on order?

Discuss lead time and production capacity

Lead time depends on materials, order quantity, season, packaging, and current production schedule. Ask for realistic timing and the assumptions behind it.

  • What is the usual production lead time after deposit and sample approval?
  • What production steps create the most delay?
  • How does lead time change during peak season?
  • What is your approximate monthly capacity for this category?

Confirm documents and compliance responsibilities

Do not assume that a certificate shown at a booth or meeting is current, relevant, or sufficient for your market. Ask what documents are available, then verify with qualified professionals when required.

  • Which certificates or test reports are available for this product?
  • Are the documents for this exact model, material, and factory?
  • Can you provide business license and export documentation?
  • Which compliance requirements are normally handled by the buyer?

Close every meeting with written next steps

Before leaving, confirm who will send the quote, sample details, photos, documents, and answers to open questions. A meeting without follow-up ownership often becomes a dead lead.

  • Who is the follow-up contact?
  • When will the written quote be sent?
  • What details are still missing?
  • What should be confirmed before sample or order discussion?
